Compliance

Trust and respect towards customers, partners and employees have always been among the basic values at Zschimmer & Schwarz. Our compliance management system is based on the highest standards, and is continuously adapted and optimised.

The Compliance Department coordinates the compliance programme group-wide, and ensures adherence to legal requirements and internal compliance guidelines. It can be contacted anytime, and ensures comprehensive communication. Our aim is to make compliance an integral part of all business processes within the framework of our corporate culture.

The employees of Zschimmer & Schwarz stand for clear values and principles worldwide. Our Code of Conduct describes in detail the rules and guidelines that guide our actions.

Code of Conduct for suppliers

Zschimmer & Schwarz also expects its suppliers and their employees to act responsibly and to adhere to the laws in force and ethical principles everywhere and at all times. That is why Zschimmer & Schwarz has issued its own Code of Conduct for Suppliers which prescribes the minimum ethical standards that Zschimmer & Schwarz suppliers undertake to observe.

CONTACT COMPLIANCE DEPARTMENT AND REPORTING SUSPECT CASES

At Zschimmer & Schwarz we operate a zero tolerance policy for violations of the Code of Conduct. If you are aware of a violation or have a concern about a particular behaviour, please report it to your superiors, the Compliance department or another trusted person at Zschimmer & Schwarz or use our electronic whistleblowing system.

Report an incident

At Zschimmer & Schwarz, we aspire to be an exemplary company in every respect. It is therefore our responsibility to ensure compliance with all applicable laws and regulations, both nationally and internationally. In order for us to meet this goal, it is important to learn about potential misconduct and to remedy it. Our whistleblowing system offers several channels for contacting us to report violations – anonymously if desired.

Who can report an incident?

Our whistleblowing system is available to all employees of Zschimmer & Schwarz as well as customers, suppliers and other third parties.

What can I report?

The whistleblowing system is designed to receive and process reports of actual or alleged violations of laws, policies or the Code of Conduct.

It is not available for general complaints or for product and warranty enquiries. Unfortunately, the whistleblowing system cannot accept, process or forward any of these customer concerns. In these cases, please get in touch with your known contact persons in our Central Customer Service department.

Whistleblowers should only submit reports if they believe in good faith that the cases they have reported are accurate. They are not in good faith if they know that a reported case is untrue or inaccurate. If there is any doubt, the relevant facts are not to be presented as a fact, but as an assumption, assessment or statement by other persons.

It should be noted that whistleblowers may be liable to prosecution and/or sanctions under personnel law if they claim untrue allegations about other persons against their better knowledge.

Who do I report to?

Ideally: report to superiors or contact persons

A culture of open communication is an essential component of well-functioning compliance. Employees must be able to address errors openly and, above all, at an early stage. The primary contact person should therefore always be the supervisor. If you are a third party, please get in touch with your respective contact person at Zschimmer & Schwarz.

Electronically and anonymously: reporting via the internet-based whistleblowing system

The whistleblowing system can be used to report possible violations within the company – completely anonymously if desired.

You can find our electronic whistleblowing system here.

If you would like to be informed anonymously about your report and its processing status, please make a note of the report key. It enables you to track your report at any time and exchange information anonymously with the compliance team.

What happens to my report?

We check every report and treat it with absolute discretion.

Upon receipt of a report, it is documented correctly and completely and confirmed to the whistleblower (as far as possible) within a maximum of seven days. If the information provided substantiates an initial suspicion, further investigative measures will be taken. A final report is prepared for each case, which contains all investigative actions and measures.

Is this process secure?

We protect the interests of whistleblowers, those affected by the report and all employees involved in the process.

You can submit your report anonymously via our secure whistleblowing system. Our procedure also ensures that incoming information is treated confidentially and that whistleblowers acting in good faith are protected by all appropriate means against any disadvantages that may result from a report.

However, when investigating reports, we also take into account the legitimate interests of the persons affected by the report. Suspicions and accusations against a person can have serious consequences for them. We therefore encourage you to use the whistleblowing system responsibly.

Since its foundation in 1894, social commitment and sustainable action have been deeply rooted in our family-owned company with more than 1,500 employees. We are therefore committed to strengthening human rights and preventing human rights violations. This commitment applies to our own global business activities, and we also ask our suppliers and service providers to contribute to this.
